DAILY HUDDLES: The importance of internal integrated communications

To describe the agency business as “fast paced” is a bit of a misnomer. Fast would be a slow day! Perhaps move-at-the-speed-of-light-no-day-is-ever-the-same-better-be-up-for-anything is more like it. I don’t think anyone gets into the agency side of things that ISN’T wired for the crazy, not-at-all-9-to-5 nature of the business. It’s why we love it!

But, without a doubt, working in an agency requires a PhD in time management and perhaps a certificate from Barnum and Bailey proving that you can juggle a million balls at a time. It also requires top-notch communication skills.

Every one of our team touches every client’s campaign in one way or another. Our creative team will be designing a website, while our digital team is working on media buy, and our PR team is distributing a news release. Each of these entities has their particular skill set and area of expertise, for sure. (I don’t necessarily want my copy writer to be designing the look and feel of a brochure.) But, believe me when I say there is overlap. There should never be any silos of skills in an agency. Each of us on the team HAS to know what the others are doing. We have to work together so there is unity, cohesiveness, clarity of message, and integration.

To ensure that our entire team is connected, that we each know what the other is doing, and that nothing falls through the fast moving tracks, we have what we call “daily huddles.” These are stand-up meetings that are no more than 15 minutes long. This is our time to communicate our vital needs and concerns to the team at-large. Each member of the team spends about two minutes answering these three questions:

  1. What are my top priorities today?
  2. What do I need help with today?
  3. What is my time available to others today?

Focusing on “TODAY” is a crucial piece of this exercise. By communicating that day’s vital priorities, and by asking for help if we need it, we are truly integrating all of the strategies and tactics for each and every one of our clients.

Without a doubt, this simple and quick technique makes for not only better communication between our team, but also guarantees the integration of all the tactics in play for each client. Integration, of course, means increased productivity and results.
